Key Responsibilities:
- Oversee the scheduling and payroll timesheet approvals for the administrative team for your practice location.
- Manage light HR duties, including recruitment, interviews, onboarding, and training of new hires.
- Conduct employee evaluations and support continuous growth and improvement for the administrative team.
- Conduct weekly reports audit and make appropriate corrections.
- Ensure administrative goals related to production and collections are met.
- Meet with patients to resolve complaints, ensuring patient satisfaction and addressing any concerns promptly.
- Work collaboratively with marketing coordinator for patient review generation and coordination of patient appreciation events.
- Supervise practice collections activity and collaborate with the billing team to resolve billing issues as they arise, ensuring the practice meets and exceeds collections goals. Strong collections skill set required with proven experience.
- Serve as a communication liaison between the practice clinical team leader and the administrative team.
- Lead department meetings and facilitate practice team meetings to keep everyone aligned and motivated.
- Pull and analyze metrics and KPI reports to assess practice performance.
- Present practice performance reports at company quarterly dinner meetings, highlighting successes and identifying areas for improvement.
- Provide support to dental providers to ensure their day-to-day operations run smoothly, enhancing the patient experience.
Qualifications:
- Minimum of 3-5 years of experience in dental administration or office management, preferably in a multi-location environment.
- Strong leadership and communication skills with a track record of effectively leading and motivating teams.
- Experience in patient relations, including resolving patient complaints and maintaining patient satisfaction.
- Strong collections skills with experience supervising collections activities and collaborating with billing teams to meet financial goals.
- Proficiency in dental practice management software (CareStack, Eaglesoft, etc.) and Microsoft Office.
- Experience with HR functions such as recruitment, onboarding, and employee evaluations.
- Analytical skills to pull and interpret performance data, metrics, and reports.
- Ability to manage multiple priorities and work effectively under pressure.
